| Description: | Tozour-Trane is looking for a Contract Administrator to join our Business Support team! This person will play an integral part of the team, performing each of the duties shown below to support Tozour-Trane growth. This person much be comfortable working under pressure and speaking with customers on a regular basis. |
| Duties: | Establish and maintain effective working relationships with co-workers, supervisors and the general public
Assists the Service Team with processing all new and renewed Contracts
Finalizing the setup in Coins for all maintenance contracts
Entering all pertinent information into Gateway
Update Contract Database on the “R” Drive.
Processing all commission payments
Send New/Renewal acknowledgement letter to customer
Processing all monthly invoices for contracts
Generating the monthly contract calls for maintenance contracts
Close all contract call slips and work orders for contracts that have expired.
Close all expired maintenance contracts.
Keep procedures manual up to date on Contract processes
Assists with the booking process of all Quoted jobs
Setup of all Quoted Jobs and Quoted T&M in Coins
Provides email notification that the Quoted Job has been booked
Enters all pertinent information into Gateway
Follow-up with project manager for all Quoted Jobs for invoicing
Processes all commission payments for Quoted Jobs
Follow-up with project manager/ASM for completion of job
Closing the job in Coins upon completion – verify all call slips and work orders are closed.
Keep procedure manual up to date for Quoted Jobs
Administers warranty Service Contracts
Setup and follow-thru of all Start-up Warranty Service Contracts
Generates call slips for the warranty to be performed
Processes all commission payments.
Adjusts the end dates of the warranty contract once the start-up is completed.
Closes out all Warranty Service Contracts once they are expired.
Keeps procedure manual up to date for Warranty Service Contracts
Assists the Service Department as needed with entering service calls and issuing purchase orders to service technicians and vendors.
Assist the BST Department with miscellaneous tasks when required.
Provides back up to the receptionist as needed.

| Qualifications: | Prefer a four-year degree in business or a related field and 1-2 years of Administrative experience. Candidates must be self-driven, results-oriented with a positive outlook and a clear focus on high quality and business profit. Must be proficient with use of the telephone and voice mail, the computer, and the fax machine. Must be adept in use of MS Office, and the Internet and e-mail. Mature, credible and comfortable in dealing with clients and vendors. Reliable, tolerant and determined. Must have a high level of professionalism and integrity. Able to get along with others and be a team player. Able to commute reliably to office base. Able to work extended hours on occasions when required.
